POSITION DESCRIPTION

 

Title:  Administrative Supervisor

Reports to:  Business Manager, Graphic Solutions

 

PRIMARY RESPONSIBILITY

Administrative Supervisor is responsible for managing a group of Administrative Specialists supporting various purchasing and clerical functions as it pertains to the business.  Providing immediate support to the Business Manager, the position requires both routine and non-routine functions as required.

 

MAJOR RESPONSIBILITIES

  1. Managing the workload balance and the team of support personnel, approving timecards and vacation requests.

  2. Supervising the completion of:

    1. PO’s/Requisitions as required.

    2. Receiving JDE PO’s as product is delivered.

    3. PO to invoice matching and submittal to Shared Services.

    4. Reception/Phone coverage and mail sorting.

    5. Non-JDE PO invoices – coding, obtaining approvals including reviews and submittal to Shared Services.

    6. Reconciliation of incoming tallies and outbound Delivery Slips.

    7. Ordering office supplies.

    8. Monthly accruals, RNV report reconciliations, EPAM reports and Open PO Aging Reports.

    9. Freight cost tracking and reconciliations.

    10. Weekly reporting of sales shipments and account tracking.

    11. Sales tracking to budgets, production tracking to budgets

    12. Various analytical reporting as required by the business.

    13. Month end accruals and submittals to HUB Accounting.

  3. Production data collection and reporting.

  4. Inventory management / reconciliation.

  5. Supporting Business Manager as required.

     

    COMPETENCIES & QUALIFICATIONS:

  • Office Administration background with accounting experience preferred

  • Strong written & oral communication skills and attention to detail

  • Problem solving, organizational and analytical skills

  • Personal computer experience and knowledge of Windows applications & Microsoft Office

  • Strong work initiative and adaptability to change
