GENERAL PURPOSE: Greet and manage walk-in traffic and field phone calls, representing the company in a professional manner.  Assist with customer service. Develop and maintain spreadsheets as needed. Perform data entry and other administrative support functions for facility.



  • Answers phone calls with proper greeting, screens callers and handles and/or transfers callers appropriately, retrieves messages from voice mail and forwards to appropriate personnel.

  • Sets up and maintains lobby and customer lounge.

  • Greets visitors and notifies appropriate personnel.  Monitors visitor access for security purposes

  • Costs out truck deliveries and posts UPS, FedEx, Messenger and Truck Delivery reports daily.

  • Opens and posts CH Robinson truck reports daily.

  • Processes and enters tracking number and costs into Prism from pick lists, forwarding completed paperwork to DG Production Coordinators.

  • Proofreads cycles and dispatch tickets from shipping, ensuring tracking numbers are accurate.

  • Auto posts in Prism for Fulfillment department daily, contacting Lead BB Production Coordinator with any outstanding postings for Chipotle.

  • Runs open orders report daily out of Prism, forwards information to all CSRs.

  • Enters spoilage information into Prism.

  • Creates spreadsheet with performance metrics in Prism daily for Shipping Supervisor.

  • Confirms accuracy of delivery information for Innerworkings weekly, notifies Shipping and Estimating/CSR.

  • Scans vendor invoices to accounts payable at corporate office.

  • Arranges vehicle transportation as needed for visitors.

  • Posts plant employee timecards in Prism daily (shop floor management timecards).

  • Manages office supplies and submit orders as needed.

  • Orders food when needed for meetings.

  • Assists other departments as needed.

  • Ensures substitute receptionist is properly trained.

  • Performs other job duties as assigned.



  • Must have high school diploma or G.E.D.
  • Must have minimum two years’ related experience.
  • Must have intermediate computer skills (email, routine database activity, word processing, spreadsheets, graphics, etc.)
  • Must have basic math skills.
  • Must be able to pass a basic reading test.
  • Must be familiar with transferring calls on multi-line phone.
  • Must be personable and be able to maintain a friendly demeanor.
  • Must be able to maintain good attendance.
  • Must be willing to work overtime as needed; significant overtime may be required during busy periods.
  • Must be able to perform all essential functions of this job with or without reasonable accommodation.
